What's Changed- 2021 Gartner Magic Quadrant for Content Services PlatformsThe editors at Solutions Review highlight what’s changed since the last iteration of Gartner’s Magic Quadrant for Content Services Platforms and provide an analysis of the new report.

Analyst house Gartner, Inc. has released its 2021 Magic Quadrant for Content Services Platforms. The researcher defines Content Services Platforms (CSPs) as “the foundational component in an organization for the management and use of content.” CSPs also deliver a way for employees to retrieve and work with content in a seamless way across devices and organizational boundaries, making them an essential component of digital workplace strategies. Core capabilities of CSPs include content repository; document and content management library services; reporting; mobility; open APIs; enterprise administration; metadata, and content collaboration, among others.

The content services market is extremely mature, with a number of vendors having had products in this field for over 30 years. As a result, many core capabilities have become commodity features with minimal differentiation. Newer vendors have taken a different approach to some of these areas, making critical capabilities a blend of optional and core capabilities. Gartner’s critical capabilities for CSPs include records management; process automation and app development; security and privacy intelligence; content intelligence; productivity intelligence; new work hub connectors; business role hub connectors; federation; content collaboration, and PaaS/SaaS deployment.

PaaS and SaaS deployment has seen the greatest growth in recent years. Businesses are on the hunt for modern, cloud-based solutions in a market that has primarily been populated with traditionalist technology. This is changing quickly, as many users are now focused on cloud deployments to modern existing implementations. Vendors offering native SaaS solutions are growing quickly, while long-standing providers that have previously been slow to deliver a SaaS/PaaS solution are now making more developments in that area.

Download Link to BPM Buyers Guide

Users looking to implement new content services should note that CSPs are rarely deployed as stand-alone solutions. Typically, there is some existing technology in place as well. Migration and re-platforming can be a costly process and the business application ecosystem that the CSP needs to integrate with can be a big differentiating factor. The degree to which an app can be integrated will have a significant impact on adoption.

In this Magic Quadrant, Gartner evaluated the strengths and weaknesses of 18 providers that it considers most significant in the marketplace and provides readers with a graph (the Magic Quadrant) plotting the vendors based on their Ability to Execute and their Completeness of Vision. The graph is divided into four quadrants, niche players, challengers, visionaries, and leaders. At Solutions Review, we read the report, available here, and pulled out the key takeaways.

Gartner adjusts its evaluation and inclusion criteria for Magic Quadrants as software markets evolve. As a result, Fabasoft, d.veleop, and Intalio were added to this year’s report, while Axway was dropped. Gartner also occasionally lists honorable mentions that did not meet the inclusion criteria but may be of interest to their clients. This year’s honorable mentions are AISHU, Macrowing Software Technology, KnowledgeLake, and Siav. Representative vendors in this year’s Magic Quadrant are AODocs, Box, DocuWare, d.velop, Fabasoft, Hyland, IBM, iManage, Intalio, Kyocera Document Solutions, Laserfiche, M-Files, Microsoft, NetDocuments, Newgen, Objective, OpenText, and SER Group.

With no challengers named in this year’s report, the 18 vendors are spread across the leader, niche player, and visionary categories. The leader quadrant is the most sparse this year, housing only four vendors. Microsoft is far and away the top vendor in this section of the graph, winning out in its ability to execute and its completeness of vision. The vendor’s success could be attributed to Microsoft 365’s continuous development and update cycle. Also a leader this year, Hyland offers three CSPs, two of which have proven to be able to scale to support billions of documents.

Box is also a leader in this year’s Magic Quadrant. The vendor recently announced an expanded relationship with Microsoft and Google Cloud, along with closer integration with Microsoft 365 and Google Workspace. Box also acquired SignRequest this year. Rounding out the 2021 leaders is OpenText, which has a true global presence and a strong ecosystem of more than 600 international partners to implement and support multi-national clients.

The niche players quadrant is the most densely populated this year, holding eight vendors. NetDocuments, iManage, and IBM are in close competition. NetDocuments boasts strength in email collaboration, which has been extended to allow IT to centrally adopt and distribute ndMail capabilities. iManage differentiates itself through its flexible and powerful mechanism for defining label-based security. Additionally, IBM customers can utilize a full IBM technology stack, including infrastructure, database, and content services platforms.

The remaining niche players are Objective, Fabasoft, AODocs, DocuWare, and Kyocera Document Solutions. Objective’s niche player status could be due to its focus on markets where information governance and records management are a priority. New vendor, Fabasoft places emphasis on model-driven, low-code deployment of content and business process services, which could have resulted in its niche player status. AODocs’ placement is possibly because its operations are mainly based in Europe and North America. DocuWare touts a long-standing SaaS platform that has full feature parity with its on-prem solution, so users can deploy either without sacrificing capabilities. Finally, Kyocera has a strong presence in the DACH region, primarily with yuuvis, which offers a relatively complete set of CSP capabilities.

The final quadrant, the visionaries, houses the last six vendors. Laserfiche is placed closest to the X-axis. The vendor has recently continued to roll out its hybrid architecture and SaaS services, while also expanding its Microsoft 365, Teams, and Outlook integrations. M-Files, located close to Laserfiche, focuses its CSP on the automation of business administration and business operation scenarios. Also a visionary this year, SER Group provides a broad set of business role hub connectors using its Doxis4 SmartBridge service.

The final visionaries in this year’s Magic Quadrant are Newgen, d.velop, and Intalio. Newgen is in close competition with SER Group, as its advanced features enable users to interact with third-party individuals and platforms. d.velop has been mainly focused on core functionality, including collaborative authoring, external file sharing, and electronic signatures for its SaaS-based platform, which is built on Elasticsearch and Amazon S3. Finally, Intalio, another new vendor, has successfully embedded AI capabilities within its CSP, delivering a rich range of cognitive services that enable content recognition and classification.

Gartner Names Winners of 2021 Voice of the Customer for Content Services Platforms Analyst house Gartner, Inc. recently announced the winners of its new 2021 Peer Insights Voice of the Customer: Content Services Platforms. The report marks the latest addition to the researcher’s expansive list of buyer-centric resources, which already includes its popular Magic Quadrant and Critical Capabilities. Gartner Peer Insights provides first-hand reviews of software and services contributed by enterprise users. The new report is an extension of Gartner’s Customer Choice Awards released in previous years.

Peer Insights Voice of the Customer does not include an expansive vendor listing or proprietary graphic to help organizations select the best tools. Rather, it provides reviews that go through a strict validation process to ensure they are authentic. Gartner Peer Insights are meant to be a complement to its expert-led research reports. At Solutions Review, we read the report, available here, and pulled out the key takeaways.

Our Buyer’s Guide for Business Process Management helps you evaluate the best solution for your use case and features profiles of the leading providers, as well as a category overview of the marketplace.

Microsoft and Laserfiche Record the Highest Overall Scores

Both receiving overall ratings of 4.6, these two content services platform (CSP) providers boast the top scores in this report. Additionally, Microsoft earned the distinction of receiving the highest number of reviews at a total of 645. Microsoft’s closest competition in this area was Box, which received 134 reviews. This shows that Microsoft was the most popular tool with Gartner users this year, by far, receiving more reviews than the 13 other providers combined. Laserfiche, while earning the same score as Microsoft, came in fifth place with regard to number of reviews, with 59.

Newgen Users are the Most Willing to Recommend

94 percent of Newgen reference users (36 reviews) showed a willingness to recommend the product. The average percentage for this rating across all vendors is just over 86 percent, which shows how strongly users respond to Newgen’s CSP. Newgen’s reviews came from all around the globe. The majority of the vendor’s reviews came from the Asia/Pacific region (53 percent), while 25 percent came from Europe, the Middle East, and Africa. Users from North America represented 17 percent of Newgen’s reviews, with Latin American users accounting for the remaining 6 percent.

Microsoft Qualified for all Category Distinctions

Gartner Peer Insights recognizes the most highly rated providers in a specific industry category through the Customers’ Choice Category Distinction. Microsoft qualified for Category Distinction in all eight of the categories listed. The vendor received distinctions in Global Enterprises, Large Enterprises, Midsize Enterprises, Manufacturing, Industry Services, Asia/Pacific, Europe, the Middle East and Africa, and North America.

Nuxeo Research Reveals the Use of Low-Code Tools Has Increased Since COVID-19New research from Nuxeo has revealed that almost two-thirds of software developers have increased their use of low-code development tools in 2020. This is partly attributed to the pressures of launching content-based applications at speed. The research also found that 70 percent of software developers believe digital transformation had become more of a priority to their enterprise since the outbreak of the novel coronavirus. However, 47 percent of those surveyed say they do not have the tools to build applications and products to meet deadlines quickly. Additionally, 44 percent say that their business has abandoned application projects because they took too long.

The report, The Low-Code Imperative, explores how common the use of low-code development tools is among software developers and how that has changed since the pandemic. 61 percent of software developers only use low-code development tools occasionally or rarely, though 55 percent say their employer encourages them to use low-code development tools more.

In a press statement, Chris McLaughlin, chief product and marketing officer at Nuxeo, said, “the pandemic has only served to accelerate digital transformation programs that were already underway, with businesses having to shift further online, provide new customer experiences and deliver better products quicker than ever. Organizations need the right tools to improve agility, flexibility, and to respond to market demands quicker — for content-based applications; the right tools mean low-code development.”

Low-code development tools provide a range of benefits to the organizations that use them. The biggest benefit was that these tools simplify the development process (35 percent), but differentiating from the competition (25 percent), making the business more innovative (25 percent), and improving the customer experience (24 percent) were also mentioned. The user experience and differentiating a brand have become more important this year. Low-code development tools allow enterprises to improve both and bring content-based apps to market faster.

Additionally, there are personal benefits to software developers from using low-code development tools. Over one-third of respondents say using these tools is a more effective use of their time, 32 percent say it enables them to do a wider range of work, and 29 percent believe they can bring more value to the business. This underscores the impact that low-code tools can have on retention and personal development. Because of this, it’s projected that 41 percent of software developers will want more than half of their organization’s app development to be low-code by 2022.

43 percent of those surveyed said it takes more than three months to complete a typical content-based application. Content is critical both internally and externally, and in a fast-paced environment, this is too long to deliver a content-based app. Typical reasons that a content-based application project would be abandoned include an inability to respond quickly enough to changing market requirements (22 percent) and the project taking too long (15 percent).

McLaughlin added, “it’s always been important to be agile, flexible, and innovative, but it’s become even more so this year. To achieve this, organizations need to bring their content-based applications to market much quicker and with a minimum of cost and complexity, and low-code tools will play an increasingly central role in doing so.”

This announcement comes on the heels of OpenText entering a definitive agreement to acquire Carbonite. The Enterprise Information Management software and solution provider will acquire Carbonite for $23.00 per share in cash. The transaction values Carbonite at an enterprise value of approximately $1.42 billion and represents a 78 percent premium to Carbonite’s unaffected closing stock price on September 5, 2019, the final training day before a media report was published speculating about a possible sale process.

In addition to unified communication solutions, XMedius also provides technologies designed to optimize the omnichannel customer experience and the connected business. These tools will complement OpenText’s Customer Experience Management (CEM) and Business Network (BN) platforms.

In a press statement, CEO and CTO of OpenText, Mark J. Barrenchea said, “with more than 50,000 installations worldwide, the acquisition of XMedius further strengthens OpenText’s leadership in secure information exchange, unified communications, and digital fax. We welcome XMedius’ customers, strong partner network, and employees to OpenText. Together, we will bring leading cloud and hybrid solutions to enterprises and small to mid-sized businesses.”

The purchase price of this acquisition is approximately $75 million in an all-cash transaction. Currently, XMedius generates about $40 million annually in revenue. Additionally, OpenText projects first year revenues to be down up to 20 percent due to customary purchase price accounting adjustments and typical integration activities.

Gartner Names Winners of 2020 Customers' Choice for Content Services PlatformsAnalyst house Gartner, Inc. recently announced its Best Content Services Platforms of 2020, as reviewed by verified customers through its Peer Insights Customers’ Choice series. Gartner Peer Insights is a robust enterprise IT product and service review platform that hosts more than 255,000 verified customer reviews across 355 defined markets. In markets where there is enough data, Gartner Peer Insights recognizes the vendors that are the most highly rated by their customers through the Customers’ Choice distinction.

Peer Insights Customers’ Choice does not include an expansive vendor listing or proprietary graphic to help organizations select the best tools. Rather, it provides reviews that go through a strict validation process to ensure they are authentic and professional. Gartner Peer Insights are meant to be a complement to its expert-led research reports. At Solutions Review, we read the reviews, available here, and pulled out the key takeaways.

Laserfiche Earns the Highest Average Score

Laserfiche’s Content Services Platform (CSP) received 129 verified reviews, with the highest average rating of 4.7 stars. 76 percent of its reviews were 5 stars and 22 percent were 4 stars. Laserfiche’s closest competitors are Adobe and Microsoft, which both earned an average score of 4.6 stars. Laserfiche was also named a challenger in the 2019 Gartner Magic Quadrant for Content Services Platforms.

Microsoft Received the Largest Number of Reviews

Microsoft’s Office 365 earned 704 verified reviews, netting an average of 4.6 stars. 63 percent of those reviews were 5 stars, while 34 percent were 4 stars. The solution is recommended for those who have an investment in Microsoft, but some reviews say that clients have to use products in addition to SharePoint to round out its CSP features. The solution is enabled via a unified cloud-based platform that includes AI capabilities for content insight and process automation. Adobe received the second most reviews with 309, followed by Laserfiche at 129, and Box at 106.

Gartner Recommends Using Customer Reviews to Supplement Vendor Evaluation

Where Gartner’s Magic Quadrants are aimed at helping organizations identify vendors to keep tabs on in the overall marketplace, peer reviews are driven only by customer feedback based on specific experiences relative to unique technology environments. That’s where the disconnect can sometimes come from when comparing analyst resources to individual reviews. In this way, it is best to utilize all the tools at your disposal when assessing data center backup and recovery solutions.

Laserfiche Launches New Workflow Bots with RPA CapabilitiesLaserfiche has announced the availability of workflow bots, new features that enable businesses to take advantage of expanded Robotic Process Automation (RPA) capabilities within the Laserfiche platform. Laserfiche workflow bots provide a no-code solution to automating repeatable clicks and data entry actions across applications, critical for organizations looking to build more complete, end-to-end solutions.

Our Buyer’s Guide for Content Management helps you evaluate the best solution for your use case and features profiles of the leading providers, as well as a category overview of the marketplace.

Laserfiche delivers a full set of Content Services Platform (CSP) capabilities in on-prem and Software as a Service (SaaS) offerings. The provider offers users reporting and compliance capabilities, which enable them to optimize business operations. Laserfiche’s extensive set of content services capabilities allow users to deploy a traditional content management tool with innovative business process solutions for digitization.

Laserfiche users will have the ability to utilize workflow bots to mimic repetitive manual tasks — including data entry, logging in and out of systems, and filling out forms — alongside pre-existing process automation capabilities to help fill integration gaps and improve employee productivity. Organizations that rely on legacy systems or third-party external sites for day-to-day operations, but currently do not have a way to integrate them can deploy workflow bots to work between applications, syncing data, and processes without human intervention. As businesses continue to look to automation for handling manual, routine tasks, employees will be empowered to do more productive work.

In a press statement, President and Chief Technology Officer at Laserfiche, Karl Chan said, “businesses and employees alike want their time back from monotonous tasks to be more productive, more effective, and more innovative. We’re excited to introduce RPA capabilities to the Laserfiche platform to supplement human employees’ capabilities and open up new opportunities for efficiency and innovation, giving our customers a competitive edge.”

Additional benefits of Laserfiche’s new workflow bots features include increased productivity, improved consistency and accuracy, low technical barrier, consolidated data and functionality, and easy implementation.
